3. Information We Receive From Other Sources

We may receive information about you from organisations we work with, including booking platforms, payment providers, event or travel suppliers and other service providers.

We may also receive information where another person makes a booking on your behalf.

Where appropriate, we will use that information only for the purposes for which it was provided or another lawful purpose.

4. Sensitive Personal Information

Occasionally, we may need information concerning health, accessibility requirements, dietary requirements or other information that may constitute special-category personal data.

We will only collect and use this information where reasonably necessary and where we have both an appropriate lawful basis and, where required, an additional legal condition for processing special-category data.

Please avoid providing sensitive information that we have not requested unless it is genuinely relevant to your booking, safety or another legitimate reason for contacting us.

5. How We Use Your Information

We may use personal information to:

  • process and administer bookings;

  • process and manage payments;

  • provide events, trips and activities;

  • administer our community;

  • provide customer support;

  • respond to enquiries and complaints;

  • manage safety and safeguarding concerns;

  • send marketing communications where permitted; and

  • appropriately promote Let’s Go through photographs, videos and community content.

6. Our Lawful Bases for Processing

UK data protection law requires us to have a lawful reason for processing personal information.

Depending on the circumstances, we may rely upon:

Contract – processing is necessary to take steps at your request before entering a contract or to perform our contract with you, such as administering your booking.

Legal obligation – processing is necessary for us to comply with a legal requirement.

Legitimate interests – processing is reasonably necessary for our legitimate business or community interests, provided those interests are not overridden by your rights and interests.

This may include operating and improving our services, protecting our community, handling complaints, preventing misuse and maintaining appropriate records.

Consent – you have given us permission to process information for a particular purpose.

Where we process special-category personal information, we will also rely upon an appropriate additional condition as required by law.

7. Booking and Operational Communications

If you make a booking with us, we will use your contact information to send communications reasonably necessary to provide your event or trip.

These may include:

  • booking confirmations;

  • payment information;

  • meeting instructions;

  • itinerary changes;

  • travel information;

  • safety information; and

  • important updates concerning your booking.

These are service communications, not marketing messages, and may still be sent where necessary even if you have opted out of marketing.

8. Marketing Communications

We may send information about Let’s Go events, trips, offers and community news where you have consented or where another lawful basis permits us to do so.

We may use email and CRM providers, including Brevo, to manage communications.

You can unsubscribe from email marketing at any time using the unsubscribe link contained in our marketing emails or by contacting us.

Where we rely on consent, you can withdraw that consent at any time.

Unsubscribing from marketing does not prevent us from sending operational messages necessary for an existing booking.

9. WhatsApp and Community Groups

Let’s Go operates community groups using services such as WhatsApp and social media platforms.

If you choose to join one of these groups, certain information — such as your telephone number, profile name or profile picture — may be visible to other participants depending upon the service and your own privacy settings.

Please consider this before joining a group.

WhatsApp and other social media providers process information in accordance with their own privacy policies.

You should not share another person's private or sensitive information in a Let’s Go community group without an appropriate reason or their permission.

10. Who We Share Personal Information With

Where reasonably necessary, we may provide relevant personal information to organisations including:

  • accommodation providers;

  • tour operators;

  • activity providers;

  • transport providers;

  • venues;

  • guides;

  • booking platforms;

  • payment processors;

  • website and hosting providers;

  • CRM and email providers;

  • IT and technology providers;

  • insurers;

  • accountants, solicitors and other professional advisers; and

  • regulators, courts, law enforcement agencies or other authorities where required or permitted by law.

We aim to disclose only the information reasonably necessary for the relevant purpose.

We do not sell your personal information.

11. Payment Information

Payments may be processed using third-party payment or booking providers.

Those providers may independently process information necessary to process your payment, prevent fraud and provide their services.

Their own privacy terms may therefore also apply.

Let’s Go does not generally retain full payment-card information where payment processing is handled by an authorised third-party provider.

12. International Travel and International Data Transfers

Let’s Go organises trips outside the United Kingdom.

To provide an overseas trip, it may be necessary to share relevant information with accommodation providers, activity providers, tour operators or other suppliers in the destination country.

Some technology providers we use may also process information outside the United Kingdom.

Where UK data protection law requires safeguards for an international transfer, we will use an appropriate lawful transfer mechanism or safeguard.

You may contact us for more information about safeguards relevant to your personal information.

13. How Long We Keep Personal Information

We do not intend to retain personal information for longer than reasonably necessary.

How long information is retained depends upon why it was collected and may take account of:

  • the duration of your booking;

  • accounting and tax requirements;

  • legal obligations;

  • insurance requirements;

  • complaints and disputes;

  • relevant legal limitation periods;

  • safeguarding considerations; and

  • legitimate business record-keeping requirements.

Financial and transactional information may need to be retained for several years.

Where you unsubscribe from marketing, we may retain limited information on a suppression list so that we can honour your request not to receive further marketing.

14. Safety, Safeguarding and Incident Information

We may receive or create information concerning complaints, disputes, accidents, harassment, misconduct, safety concerns or safeguarding matters.

This information may involve multiple individuals and may sometimes be sensitive.

Where appropriate and legally permitted, we may process this information to:

  • investigate concerns;

  • protect participants;

  • manage safety;

  • manage the Let’s Go community;

  • take appropriate action concerning participation;

  • establish, exercise or defend legal claims;

  • comply with legal obligations; or

  • cooperate with appropriate authorities.

We will consider the privacy and data protection rights of all individuals involved when deciding whether information should be disclosed.

15. Your Data Protection Rights

Depending on the circumstances, you may have rights including:

  • Right to be informed – to understand how your information is being used.

  • Right of access – to request access to personal information we hold about you.

  • Right to rectification – to have inaccurate or incomplete information corrected.

  • Right to erasure – to request deletion in certain circumstances.

  • Right to restrict processing – to request that processing is restricted in certain circumstances.

  • Right to data portability – to receive certain information in a portable format where the right applies.

  • Right to object – to object to certain processing.

  • Rights relating to automated decision-making – where applicable.

These rights are not absolute and exceptions may apply depending upon the circumstances and our reason for processing your information.

Where we rely upon consent, you may withdraw it at any time. Withdrawal does not make processing carried out before withdrawal unlawful.

You may object to direct marketing at any time.

16. Subject Access Requests

You may ask us for access to personal information we hold about you by contacting us.

A subject access request generally gives you a right to obtain your personal data. It does not necessarily entitle you to receive complete copies of every document, email, message or conversation in which you are mentioned.

Records may contain information about other individuals.

Where appropriate, information relating to other people may be redacted or withheld where required or permitted by data protection law.

We will respond to valid requests in accordance with applicable data protection legislation.

We may need to verify your identity before disclosing personal information.

17. Photography and Video

Photography or filming may take place during Let’s Go events and trips.

We may use appropriate photographs and videos to document and promote Let’s Go, including on our website, social media and marketing materials, where we have an appropriate legal basis.

Where consent is required for a particular use, we will obtain it.

If you have concerns about an image or video featuring you, please contact us.

18. Cookies and Website Analytics

Our website may use cookies and similar technologies.

These may be used to:

  • provide essential website functionality;

  • remember preferences;

  • understand how visitors use our website;

  • measure website performance; and

  • support advertising or marketing where applicable.

Where consent is legally required before using non-essential cookies, we will request that consent through our cookie controls.

You can also control cookies through your browser settings.

19. Security

We take reasonable technical and organisational measures to protect personal information against unauthorised access, disclosure, alteration, loss or misuse.

However, no online system can guarantee absolute security.

We review our practices where appropriate and limit access to personal information according to legitimate business needs.

20. Children's Information

Our events and community are generally intended for adults.

We do not knowingly use our services to collect personal information from children for general community membership or marketing.

Where an event specifically permits younger participants, appropriate additional arrangements may apply.
